Role clarification

This is an exciting opportunity to develop into a newly created role. The main duties will include facilitating and raising quotes, order processing and any other admin duties to enable the wider team to focus on achieving company targets. As the company grows, this role will evolve and likely include other admin duties.

Duties and responsibilities

• Liaise with the Operations team to identify task requirements

• Create Service Orders, work order requests, quotations, and purchase orders in ProAlpha and other platforms as required

• Follow approval processes

• Customer, supplier & service provider communication as required

• Maintain additional services tracker (reporting spreadsheet) and ensure communication with wider business

• Collate aborted/cancelled / additional cost quotes • Archive unsuccessful quotes/tenders in ProAlpha if a Service Order issued 

• Assist with Major Component tenders & indicative cost quotes as required

• Assist with daily Dispatch tasks

• Documentation Management: Generate and maintain accurate quotes, proposals, order forms, and dispatch documents.

Qualifications

Financial, sales and/or contracts experience

Personal Attributes

• Strong administration skills

• Polite and professional communicator

• Excellent IT skills and proficiency in using Microsoft Office (e.g. Outlook, Excel, Word, Powerpoint and Sharepoint)

• Excellent attention to detail

• Able to prioritise work and successfully meet deadlines

• Be willing to learn new skills and be adaptable to change in processes as required

• A team player who enjoys helping others

• Highly organised individual with a pragmatic approach to solving problems

• Reliable individual with a high level of integrity and motivation

• Excellent communicator (written and verbal)

• Proactive and self-confident who can work methodically and well under pressure

Other essentials
